Every circle requires recurring processes to ensure collaboration, reliability and continuous improvement. A person responsible (process owner) should be appointed for each of these processes. Collaboration takes place in various formats, each serving its own purpose. Brief daily or weekly coordination meetings serve to manage day-to-day operations. Tactical management meetings support medium-term planning and decision-making, whilst strategy meetings, held at longer intervals, address the circle’s long-term direction.
Neutral moderation ensures that meetings run clearly and efficiently. However, responsibility for content and decisions lies with the participants. Regular retrospectives create space for shared learning and improve collaboration in an open, trusting atmosphere. These formats are complemented by brief operational coordination sessions, leadership monitoring meetings to address organisational issues, and open discussion formats such as Lean Coffee for professional exchange. Personnel changes should also be managed according to transparent and fair principles.
To get started with self-organisation, it is advisable to
• establish a clear circular structure with well-defined responsibilities,
• delegate recurring decisions to specific roles,
• practise consensus-based facilitation and the integration of objections,
• establish regular leadership and decision-making meetings, and
• use consultative decision-making processes for complex individual issues.
